Starting Salary: $58,956
This position is open to the public and all current city employees covered under the City’s Collective Bargaining Agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) – BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

Under direction, supervises and directs a clerical operation for a City department; and performs related duties as required.
Essential Duties
- Supervises monitors, organizes, assigns, and reviews the work of a group of team members responsible for opening, sorting, and processing mail.
- Supervises the upkeep and maintenance of files, records and products sold (i.e., city stickers, dog licenses, etc.), customer receipts, applications, and payments.
- Responds to customer complaints and inquiries in person as well as via telephone and email.
- Reviews financial records to reconcile discrepancies.
- Monitors the processing of complaints and inquiries and responds to official and/or atypical complaints and inquiries.
- Coordinates the activities of office clerical staff with that of other departmental personnel.
- Supervises and/or participates in the training and instruction of subordinate staff; maintains records of expenditures, appropriations, and revenues.
- Approves requests for information from files in accordance with departmental regulations.
- Reviews the receipt and tabulation of monies received.
- Monitors and appraises the performance of subordinate staff.
- Explain departmental policies to staff and/or the general public.
- Supervises and reviews the preparation of statistical, operating, progress and performance reports.
- Other job-related duties as assigned

Three (3) years of progressively responsible clerical experience, or an equivalent combination of training and experience.
Selection Requirements
This position requires applicants to successfully pass a skills assessment test and complete an interview, which will include a written exercise. Test results will be sent out by the Department of Human Resources after the test results have been compiled and analyzed. Applicants who receive a passing score on the test will be selected to interview. The interviewed candidate(s) receiving a passing score on the test and possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral interview and written exercise, will be selected for hire.
Preference Will Be Given To Candidates Possessing The Following
- Previous experience reviewing the preparation of statistical, operating, progress and performance reports
- Previous experience with customer service duties
- Previous experience ensuring enforcement of regulations and adherence to policies by staff
- Previous experience reconciling cashiering reports
- Previous experience involving payment processing and reconciling (cash, check, and/or credit card processing, performing balance and close out procedures and bank deposits)
- Previous related supervisory experience
- Ability to read, write, and speak any language other than English fluently

Residency Requirement: All employees of the City of Chicago must be actual residents of the City upon their start date as outlined in 2-152-050 of the City of Chicago Municipal Code. Proof of residency will be required.
